Technical Assistant
Job description
Fortnum and Mason is on the lookout for a passionate Technical Assistant. The ideal candidate will be required to demonstrate strong influential and leadership skills when working within the team, to demonstrate an ability to move onto another role within the team. They will play a crucial role in assisting the Director of Technical and Sustainability and to provide both administrative and technical support for CSR and Technical team.

Specific Role requirements
Team administration
- Managing the team budget and invoicing
- To write and manage Technical team meeting minutes, work planners and to do list.
- Holiday rota and scheduling.
- Facilitating Team PDR management - scheduling meeting, sending paperwork, chasing completion to deadlines
- To co - ordinate and maintain the team CSR and Technical risk assessments
- To manage Technical and CSR induction programme for new starters Technical & CSR team and the rest of the business.
Reporting and Record Keeping
- To deliver all weekly and monthly business reports (including risk reports) and ensure teams complete ontime with accurate, topline information.
- To ensure systems and records that are required for reports are accurate and up to date
- To circulate period reports to the management group.
Operational procedures
- To monitor procedure training to all relevant areas of the business and supply chain and report metric in our weekly and reports.
- To report on supplier sign up to F&M operational procedure.
- To ensure and monitor all areas have in situ access to the Fortnum and Mason operational procedures.
- To ensure compliance to these documents is monitored, trended, and reported to the business.
Due Diligence
- Monthly due diligence audits are written up, trended and reported to the business.
Training
- Support CSR and Technical managers to create and maintain a robust training schedule and bespoke Fortnum and Mason training in place that trains out the requirements of F&M operational procedures and provides add on tailored training for the specific needs of the colleagues attending.
- Ensure Technical and CSR areas either deliver or ensure content is available for new F&M staff and the compliance of all staff training to be monitored as part of the internal audits.
- Signed training records for all operational procedures relevant for each colleagues’ roles to be collated (and T&CSR team have access to signed declarations when investigating issue).
- Quick guide introduction for CSR and Technical at F&M to in place and to be kept up to date with all key 2nd languages.
- Training compliance to be monitored and reported
Audits –CSR and Technical Internal, External and DD audits
- Internal audit RAG table to be maintained and kept up to date.
- Internal audit results to be communicated to relevant managers, in the weekly and monthly reports.
- Send out trending on a period basis – week 4.
Surveillance testing
- To report on whether the Surveillance testing scheduled is maintained and followed.
- Out of specification & Internal audit results to be communicated to relevant managers, in the weekly and monthly reports.
- Surveillance results to be trended and reported
Customer Complaints
- To be logged and to co-ordinate the team to deal with all complaints within the agreed timescales. Responsible for logging all complaints and maintaining the database.
- Ensuring complaints are closed off and reported back to relevant managers of the business to the agreed timescales.
- To be trended and reported on a weekly and Monthly basis.
- To be investigated as per the F&M complaints policy.
Future Scan
- To identify and incorporate new and emerging risk into product safety and sustainability.
Qualifications and Experience
- Scientific degree or equivalent
- At least 1 years’ experience in a technical area in either retailing or manufacturing.
- Attention to detail and key as are excellent written and oral skills
