International Wholesale Operations Support
Job description
Role Purpose:
To offer key support to the International Wholesale Operations Co-Ordinator
Reports to:
International Wholesale Operations Co-ordinator
Key interfaces:
Internal and external stakeholders
Key Accountabilities:
Operations
All under supervision of International Wholesale Operations Co-Ordinator until able to operate independently
* Put customer orders on the system in the absence of International Administration Assistant
* Post customer orders
* Oversee orders for labels and outer cartons where needed ensuring they meet critical delivery dates for on-time processing of orders in the warehouse
* Undergo training on D365 system and warehouse systems
* Support in the production of shipping documentation in a timely manner
* Support in the communication with the warehouse: daily meetings, emails, priority list
* Use tools available to understand status of customer orders and be able to report to the various Account Managers on that status.
* Support in application and follow up of all necessary export certification (training provided)
* Be able to produce and send accurate commercial and sales invoices to all customers in the absence of International Administration Assistant.
* Liaise with finance regarding overdue payments under the supervision of the International Account Manager
* Customer communications regarding status and problems with their order under supervision
* Support with entering account orders and credit notes on the system in the absence‿
* Assist in sending product samples to accounts.
* Timely and accurate maintenance of the product master file.
* Undertake ad hoc analysis and duties as required to support the wider International team.
* Skills – proactive, initiative, flexible.

* Excellent Microsoft office skills
* Excellent communication skills
* Be really resilient
* Robust experience of the CRM systems and processes and reporting mechanisms to enable a function that is growing and maturing at speed
* Digitally savvy
* An ability to challenge, build credibility with a wide range of audiences and work with integrity/confidentiality at all times
